Do I need a referral?

You do not need a referral from a physician to be seen at MindFit, but referrals are always welcomed. Our referral form can be found here. Referrals may be beneficial to provide our Coaches with information about your concerns. Furthermore, your insurance provider may require a referral prior to your first appointment. Please check with your insurance provider ahead of time.

How do I schedule an appointment?

I have received an assessment from another health care provider, do I need an assessment from a MindFit Coach before beginning therapy?

An assessment may not be required in the event a recent comprehensive psychological assessment has been completed. In certain circumstances, an additional assessment by a MindFit Coach may be appropriate.

Do you offer online/virtual therapy?

Yes, we offer virtual therapy (telepsychology) through secure video. We know it can be challenging to attend regular in-person appointments and our goal is to make therapy as comfortable as possible for you and your family. Please mention this request at the time of booking to arrange online appointments.

How long are appointments and how many will I need?

Treatment appointments are 50 minutes in duration. Assessment appointments vary in length depending on the nature of the assessment and may be discussed with you prior to booking.

It is often difficult to predict the number of sessions a Member will need in advance of an assessment because workout programs are individually tailored to the needs of each Member. MindFit coaches collaborate with families when discussing treatment plans and as registered healthcare professionals, they are required to only offer workout programs if they believe it is recommended and will be effective.

Who should attend the first appointment?

We generally encourage parents and youth to both attend the initial appointment.

Parents/caregivers often play a regular role in treatment of school-aged youth:learning about strategies discussed in session, offering observations, and supporting between-session activities/practice of therapy techniques at home.

Often adolescents may prefer to meet individually. If this is the case, Coaches will discuss with your adolescent how to best involve parents/caregivers in treatment.

Adults generally attend the first appointment individually (unless they prefer to have a partner or parent present).

What can I expect at the first appointment?

When you meet with one of our coaches, they will provide an overview of the activities that you will be participating in. Please bring all previous reports and report cards to this first meeting.

During the first session, coaches will conduct an assessment to help understand your developmental history, background, strengths, and areas of difficulty/concern. At the completion of the assessment, coaches will develop a treatment plan in collaboration with you (and, if applicable, your family). This plan will include discussion of the number and frequency of sessions and the types of techniques/interventions used. You will also receive a report outlining the plan.

Do you prescribe medications?

Psychologists in Ontario are not trained or licensed to prescribe medications. However, MindFit Coaches work collaboratively with other healthcare providers (including family physicians and psychiatrists) who may prescribe and manage medications.

Are your services confidential?

Yes, all the information shared by you to MindFit will be kept strictly confidential. Psychologists have an ethical and legal obligation to maintain confidentiality and not disclose any personal information without the client’s permission (or that of a legal representative or guardian). However, there are certain situations where confidentiality may not be protected. For additional information regarding situations where confidentiality may not be protected, please review the “Confidentiality” section of our Privacy Policy. MindFit Coaches will review these limits to confidentiality during the first appointment and you will be provided with an opportunity to ask any questions.

What are your fees?

Fees are set in accordance to the guidelines outlined by the Ontario Psychological Association. Psychological services provided in private practice settings are not covered under the Ontario Health Insurance Plan (OHIP). However, some extended health insurance/benefit plans reimburse all or part of the fees for services of a licensed psychologist. Non-reimbursed fees may be claimed as medical expenses on your income tax return. Please contact us for more information on specific rates and options available.

Payment for service is due at the end of each session. You will be provided with a receipt that you can submit to your insurance company. Cash, etransfers, and cheques are currently accepted methods of payment.

What if I change my mind and I want to discontinue services?

You may discontinue a MindFit Program at any time without incurring any additional fees. We always encourage MindFit Members to discuss any concerns or questions about treatment with their MindFit Coach so we can address any questions or concerns, change the therapeutic approach, and/or refer you to another professional.

Programs are designed to be short-term (i.e., up to a few months) and we regularly monitor treatment progress and outcomes with validated questionnaires in an effort to ensure Members do not waste time and money doing something that is not working!

What is your cancellation policy?

Your appointment time is specifically reserved for you. If you need to cancel a session, please provide as much notice as you can. If you cancel an appointment with less than 48 hours notice (not including weekends), except for unpredictable emergencies, or if you miss a scheduled appointment, you will be charged the full fee of your session. For example, if you are scheduled for an appointment on Monday, you must cancel by Thursday, the week before your appointment, or you will be charged.
